Hold Shelf Expiration for Resource Sharing Requests

1. Update Max. time on hold shelf. Done at the library-level.

  • Configuration -> select a physical library from dropdown (top left) -> Fulfillment -> Library Management -> Circulation Desks
  • From the Circulation Desks list select DEFAULT_CIRC_DESK (and / or any other circ desk in that list that has a hold shelf)
  • Under Hold shelf information change Maximum time on hold shelf (Days) to match (or exceed) the number of days you wish to keep resource sharing items on hold for.
  • SAVE
  • Repeat for any library / circ desk with a hold and pickup location for RS library items. You do not edit this information in the Resource Sharing library itself.
  • Note that this does not change the hold shelf period for anything with a lesser number of days on the request TOU

2. Add a new Hold shelf policy, if you don’t already have one. Done at the institution-level.

  • Configuration -> Fulfillment -> Physical Fulfillment -> Advanced Policy Configuration
  • From the Policy Type dropdown, select Hold Shelf Period. Note whether you have a policy that matches your intended output*. If yes, note the name of that policy and skip to step 3. If no, proceed…
  • Add Fulfillment Policy -> Hold Shelf Period -> Next
  • Policy Name: Resource Sharing holds
  • Policy description: Extended hold shelf period for RS borrowing. Works in conjunction with rs_hold_shelf_expiration parameter.
  • Value (in open days): [institutional choice]
  • Default Policy: False
  • SAVE

*You may already have “Non-Omni Resource Sharing Policy” = 14 days (suggested) for this purpose but you are free to use a local policy.

3. Update TOU. Done at the library-level.

  • Configuration -> select your Resource Sharing Library from the dropdown -> Fulfillment -> Physical Fulfillment -> Fulfillment Units -> RES_FU
  • Select the Fulfillment Unit Rules tab
  • From the Rule Type dropdown, select Request
  • Take note any policies that are enabled
  • Without leaving the RS library config, go to Fulfillment -> Physical Fulfillment -> Terms of Use and Policies
  • From the Terms of Use Type dropdown, select Request
  • Navigate to the request TOU(s) you just noted
  • For each, select (…) More actions -> Edit
  • Change the Hold Shelf Period to: [Policy setup in step 2]
  • Next -> SAVE
  • Repeat for each of the Request TOUs listed in the Res_FU

4. Update relevant parameters in Other Settings. Done at the institution-level. This is a combination setting, please see Ex Libris documentation for detailed explanation of the possible outputs.

  • Configuration -> Fulfillment -> General -> Other Settings
  • Use (…) More actions -> Customize, if you need to edit the following values:
  • Parameter Key -> ignore_lender_due_date, Value = false* . SAVE
  • Parameter Key -> rs_hold_shelf_expiration, Value = circ_desk . SAVE

*If you use a local loan period (as opposed to the lender supplied due date) then leave this set to true.

This setting is not applied retroactively. The new hold shelf period will apply to any (non-AFN) Resource Sharing library items received after this.
