02 - Create New Rota Assignment Rules

A Rota Assignment Rule tells Alma what rota(s) should be assigned to particular types of requests. For example, if you want requests for digital items to go to a certain set of rotas, you can do that here. If you want all requests for videos to go to a certain rota(s), you can do that here too.

  1. Login to Alma
  2. Click CONFIGURATION in the lower left
  3. Ensure your institution scope (YOUR UNIVERSITY) is shown in the CONFIGURING dropdown at the top of the screen
  4. Click FULFILLMENT
  5. Under RESOURCE SHARING, CLICK ROTA ASSIGNMENT RULES
  6. Click ADD RULE in the upper right-hand corner
    1. Name: Digital Resource Sharing Request Rule
    2. DESCRIPTION: Allows requests for digital materials to go to our partners
    3. Input Parameters:
      1. Requested Format EQUALS DIGITAL
      2. UserGroup, In List: users who should be able to place requests for things in a digital format (this is often students/ staff/ faculty)
    4. Output Parameters:
      1. Rota Templates: Select:
        1. ISO - Omni – Digital Partners
        2. UToronto - OCUL Lender of Last Resort
        3. ISO - Canadian East Alma-to-Alma Partners
        4. ISO - Canadian West Alma-to-Alma Partners
        5. ISO - US Alma-to-Alma Digital Partners
        6. ISO - OCLS Alma-to-Alma Digital Partners
    5. Click SAVE in the upper right
  7. Click ADD RULE in the upper right-hand corner
    1. Name: UToronto - OCUL Lender of Last Resort
    2. Description: Used for sending physical requests to UToronto's Alma
    3. Input Parameters:
      1. Requested Format EQUALS PHYSICAL
      2. UserGroup, In List: users who should be able to place requests for things (this is often students/ staff/ faculty)
    4. Output Parameters:
      1. Rota Templates: Select UToronto - OCUL Lender of Last Resort
    5. Click SAVE in the upper right
  8. Click ADD RULE in the upper right-hand corner
    1. Name: ISO - Canadian Alma-to-Alma Partners
    2. Description: Used for sending physical and electronic requests to non-OCUL Canadian Alma partners
    3. Input Parameters:
      1. Requested Format EQUALS PHYSICAL
      2. UserGroup, In List: users who should be able to place requests for things (this is often students/ staff/ faculty)
    4. Output Parameters:
      1. Rota Templates: Select ISO - Canadian East Alma-to-Alma Partners and ISO - Canadian West Alma-to-Alma Partners
    5. Click SAVE in the upper right
  9. Ensure your newly added rota assignment rules are turned OFF and in the right order:
    1. If you ARE a RapidILL school, ensure your RapidILL rota assignment rule is FIRST, then the Digital Resource Sharing Request rule, then your AFN ones, then the UToronto - OCUL Lender of Last Resort, then your ISO – Canadian Alma-to-Alma Partners rota
    2. If you’re NOT a RapidILL school, have your Digital Resource Sharing Request rule first, then your physical AFN ones, then the UToronto - OCUL Lender of Last Resort, then your ISO – Canadian Alma-to-Alma Partners rota

REMEMBER: ENSURE THESE NEWLY CREATED RULES ARE OFF FOR NOW. We’ll enable them later.
